Job application letter sample (South Africa): templates + examples
Copy-and-paste job application letter sample templates for South African job seekers, plus two worked examples (entry-level and experienced) you can adapt fast.
Here’s a job application letter sample you can copy, paste, and customise for a South African employer—plus a simple template and two complete worked examples (one entry-level, one experienced). Use this when you’re emailing a CV, applying on a company site, or submitting documents for an application letter for employment South Africa.
What is a job application letter (and when do you need one)?
A job application letter is a short, targeted letter that explains why you’re applying, what you can offer, and what you’re attaching (CV, certificates, etc.). In South Africa it’s often requested as a “cover letter” or “motivational letter”, but for most private-sector roles it should be practical and job-specific, not emotional or long.
- Use it when a job ad asks for a cover letter/motivation, when you’re emailing a CV, or when you need to explain a career change, gap, or relocation.
- Skip it only if the employer’s form explicitly says “no cover letter” or there’s nowhere to upload one.
Job application letter sample you can copy and adapt
Copy this as-is, then replace the bracketed parts. Keep it to half a page to one page (about 200–350 words) unless the advert asks for more.

How to customise the template (fast, without overthinking)
1) Match your first paragraph to the advert
In the first 2–3 lines, mirror the job title and mention 2–3 requirements the advert emphasises. This signals relevance immediately.
- Good: “...experience in customer service, cash handling, and POS systems...”
- Weak: “I am a hard worker and fast learner...” (too generic)
2) Use one strong proof point
Add one example that shows you’ve done something similar before (work, volunteering, projects, student leadership, learnerships). Keep it concrete.
- Task: what you did
- Tools/skills: what you used
- Result: what improved (time saved, fewer errors, smoother service)
3) State what you’re attaching
South African employers often want documents alongside a CV. Only list what’s relevant to the application.
If you still need to build or polish your CV before sending the letter, you can create a free CV and then choose a CV design that matches the role.
Worked example 1: Entry-level job application letter sample (retail/call centre/admin)
Subject: Application for Customer Service Assistant – Lethabo Molefe
Dear Hiring Manager,
I’m applying for the Customer Service Assistant position at Riverwalk Retail. I recently completed my National Senior Certificate and have hands-on experience supporting customers through a school fundraising project and part-time weekend work. I’m confident in customer service, handling queries calmly, and working accurately under pressure.
In my most recent part-time role at a local takeaway, I assisted customers at the counter, confirmed orders, and resolved mistakes quickly while keeping service moving during busy periods. I also helped reconcile daily cash-ups with the supervisor and learned the importance of accuracy and honesty when handling money.
I’m especially interested in this role because your advert mentions teamwork, shift work, and strong communication—areas where I’ve consistently performed well. I’m willing to work weekends and public holidays, and I’m comfortable standing for long periods and assisting customers throughout the store.
I’ve attached my CV and certified copies of my ID and matric certificate. I’m available for an interview on weekday afternoons and can start immediately.
Kind regards,Lethabo Molefe071 234 5678lethabo.molefe@email.com
Worked example 2: Experienced job application letter sample (admin/finance/operations)
Subject: Application for Office Administrator – Thando Naidoo
Dear Ms Dlamini,
I’m applying for the Office Administrator position at Kopano Services. I have 5+ years of experience supporting busy teams with front-office administration, document control, and invoicing and supplier follow-ups. I’m confident I can strengthen your office systems and improve turnaround times on day-to-day admin.
In my current role at Brightline Projects, I manage the reception function, schedule meetings across multiple departments, and maintain accurate electronic filing. I also assist finance by preparing invoice packs, following up on missing documentation, and tracking supplier statements. By introducing a consistent naming and folder structure for shared documents, I reduced time spent searching for files and improved handover between colleagues.
Your advert highlights the need for someone who can work independently, communicate professionally, and keep records audit-ready. This matches my approach: I keep clear checklists, confirm instructions in writing where needed, and flag problems early so they don’t become delays.
I’ve attached my CV and supporting documents as requested. I’m available for an interview with one day’s notice and can start after my two-week notice period.
Kind regards,Thando Naidoo082 555 0199thando.naidoo@email.com
Job application letter template (email vs PDF) — what works best?
Email application (most common)
- Put a short version of your letter in the email body (5–10 lines).
- Attach your CV as a PDF.
- If requested, attach documents as a single PDF bundle or separate files (clearly named).
Tip: If you’re applying through a portal, you can upload the full letter as a PDF and keep the portal text short.
PDF/printed application
- Use the full letter template above.
- Add your contact details at the bottom (or in a simple header if your CV design includes it).
- Keep formatting clean: no tables, no heavy graphics.
What to include (and what to leave out) in South Africa
Include
- Job title and where you saw the role (optional)
- 2–3 job-matching skills (from the advert)
- One proof example (achievement/responsibility with a result)
- Attachments (CV + requested docs)
- Availability (interview times, start date/notice period)
Leave out (unless the advert asks)
- ID number and full home address (a suburb/city is usually enough on a CV)
- Long personal stories or unrelated background
- Salary expectations in the first email (unless requested)
- Paragraphs listing every skill you have
Common mistakes that get your application ignored
- Wrong company name (from copy-pasting). Always double-check.
- No role in the subject line (recruiters search by title).
- Too generic: “I am a hard worker” without proof.
- Spelling/grammar issues: keep sentences short and re-read once.
- Missing attachments: mention what you attached, then confirm files are actually attached before sending.
